What You'll Do
- Answer and direct incoming telephone calls professionally
- Welcome and assist customers, vendors, and visitors
- Perform general administrative duties including filing, copying, scanning, faxing, and mailing
- Process customer orders through phone, in-person, and online channels
- Prepare daily delivery invoices and process cash receipts
- Assist with new customer account setup
- Support the sales team with quotes and special pricing
- Enter and scan Accounts Payable invoices
- Create, edit, and format correspondence, reports, and presentations
- Coordinate meetings, special events, and office communications
- Maintain office supply and kitchen inventory
- Coordinate incoming and outgoing mail and shipments
- Maintain office records, filing systems, building keys, and equipment records
- Support executives and management with administrative projects
- Complete special projects and additional administrative duties as assigned
What We're Looking For
- 3-5 years of administrative experience preferred
- Experience working in a fast-paced, customer-focused office environment
- Associate degree or equivalent combination of education and experience preferred
- Excellent verbal and written communication skills
- Strong customer service and interpersonal skills
- Professional phone etiquette
- Highly organized with exceptional attention to detail
- Ability to prioritize multiple tasks and meet deadlines
- Self-motivated and able to work independently and collaboratively
- Proficient with Microsoft Word, Excel, PowerPoint, and Outlook
- Ability to quickly learn new software and business systems
- Accurate typing skills (approximately 60 WPM preferred)
- Professional demeanor with the ability to interact confidently with executives, customers, and team members
