Seasons Law P.C. is an award-winning estate planning law firm serving Northern California. We help families navigate some of life's most important moments—from creating estate plans to guiding loved ones through trust administration after the loss of a family member. We are seeking a Reception & Scheduling Coordinator to become the face and voice of our firm. This is much more than answering phones—you will play a vital role in creating an exceptional client experience while providing administrative support to our attorneys and legal team.

We are a close-knit, collaborative office that values compassion, professionalism, teamwork, and continuous learning. While we prefer to hire a full-time employee, we will consider part-time for an exceptionally qualified candidate.

An average day at the office may look like:

  • Competitive hourly pay ($20.00–$24.00 per hour, depending on experience)
  • Welcome clients with warmth and professionalism.
  • Answer and direct a high volume of incoming phone calls.
  • Schedule phone, video, and in-person appointments while managing calendars for multiple attorneys, including hearings, court appearances, client meetings, and deadlines.
  • Create and maintain both digital and paper client files, open new matters, perform conflicts checks, and keep records in accordance with firm procedures.
  • Draft routine correspondence and communicate with clients by email, phone, and through our secure client portal.
  • Process incoming and outgoing mail and deliveries.
  • Prepare conference rooms and provide a polished, welcoming office environment for clients.
  • Maintain organized reception, client, and employee areas.
  • Assist attorneys and staff with administrative projects and help manage workflow and upcoming deadlines.… and other tasks as needed

Qualities We're Looking For:

  • Has at least two years of experience in a client-facing, reception, administrative, hospitality, or professional office environment.
  • Loves working with people and naturally makes others feel comfortable.
  • Communicates professionally, clearly, and compassionately.
  • Is highly organized with exceptional attention to detail and strong multitasking skills.
  • Is dependable, proactive, and willing to take initiative.
  • Learns new technology and procedures quickly.
  • Maintains confidentiality and professionalism at all times.
  • Is flexible, adaptable, and enjoys being a collaborative team player.
  • Takes pride in creating an exceptional client experience from the first phone call through every interaction.

Preferred Qualifications

Legal experience is helpful but not required. Experience in estate planning, trust administration, or probate is a plus. We are happy to train the right candidate who demonstrates kindness, emotional intelligence, professionalism, and a genuine desire to help others.

Experience with Microsoft Office 365 (particularly Word, Excel, and Outlook), PDF editing software, and standard office equipment—including printers, copiers, scanners, postage systems, and Windows-based computers—is preferred.
