Welcome to El Dorado Hills Community Services District! We would love to have you on our team! We are seeking an Office Assistant to be a part of the El Dorado Hills Community Services District which is recognized as the premier park, recreation, and local community services organization with a passion for providing excellent services and facilities and protecting the quality of life and environment of the community. This Office Assistant position is a part-time position, and it is anticipated that this position will work between 20 to 30 hours per week. Based on the selected candidate's qualifications and experience, consideration may be given to appointment at the Administrative Assistant I classification.

About the Position

This Office Assistant position will be working in the Resident Services Office and will be the first point of contact for residents seeking information about services offered by the District. Examples of duties are:

  • Assists the public in person or by phone; answers inquiries related to department services, programs, and operations.
  • Assists public in completing appropriate forms for facility rentals.
  • Obtains information from customers, visitors or callers to determine appropriate resource, action, document, or staff referral to meet their needs. Accepts completed District forms.
  • Responds to inquiries regarding District functions, services, policies, and procedures.
  • Obtains information and refers customers to the appropriate personnel or location.
  • Explains the proper use of forms and documents.
  • Prepares items for mailing and sorts and distributes incoming mail according to established guidelines and procedures.
  • Operates telephone system including answering calls, transferring calls, and taking messages
  • Screen and route telephone calls.
  • Verifies that information or data is complete, accurate, and consistent.
  • Organizes, inventories, and order supplies for the District
  • Performs related duties as required.
Typical Qualifications

Education and Experience: Any combination of training and experience that would provide the required knowledge, skills, and abilities is qualifying. A typical way to obtain the required qualifications would be: Equivalent to the completion of the twelfth (12th) grade. AND Six (6) months experience and/or training in an office setting, paid or unpaid, related to filing, reception, processing mail, typing, data entry, answering telephones, assisting the public or other clerical duties is desirable. Licenses and Certifications: Possession of, or ability to obtain, a valid class C California driver's license.

  • Customer service techniques.
  • Clerical practices and procedures.
  • English usage, grammar, spelling, vocabulary, and punctuation.
  • Modern equipment and communication tools used for business functions.
  • Computers and software programs (e.g., Microsoft software packages) to conduct, compile and/or generate documentation.
  • General principles, procedures and practices of recordkeeping.

Ability to: Demonstrate strong customer service skills. Observe and enforce safety principles and work in a safe manner. Operate modern office equipment including computers and specialized software applications relevant to work performed. Follow written and oral directions. Effectively communicate verbally and in writing. Establish and maintain effective working relationships with those contacted in the course of work. Communicate clearly and concisely, both orally and in writing, using appropriate English grammar and syntax. Operate communication devices and telephones. Deal tactfully and courteously with people.
