PRIMARY FUNCTION/RESPONSIBILTY

The Event Manager is responsible for the strategic planning, coordination, and execution of non-fundraising, mission-driven events designed to educate, inform, and engage the community about SJRC Texas | Belong's work, services, and impact. This role serves as a cross-departmental connector, ensuring events are aligned with organizational priorities, programmatic goals, and brand standards.

The ideal candidate blends strong project management skills with modern communication practices, including the effective use of AI tools to enhance event planning, outreach, evaluation, and operational efficiency.

ESSENTIAL DUTIES AND RESPONSIBILITIES

Key Responsibilities

Strategic Event Planning & Execution

  • Lead the planning, development, and execution of internal and external non-fundraising events, including community education events, informational forums, ribbon cuttings, open houses, and collaborative partner initiatives.
  • Translate organizational goals into meaningful, well-structured event experiences that advance public understanding and community trust.
  • Ensure consistent, high-quality execution across all events, from concept through post-event evaluation.
Cross-Departmental Collaboration
  • Serve as the primary point of contact for event coordination across departments, including Development, Programs, Community Enrichment, Communications & Marketing, and Operations.
  • Partner with department leaders to ensure events accurately reflect program goals, service delivery, and community needs.
  • Facilitate clear communication, timelines, and accountability among internal stakeholders throughout the event lifecycle.
Communications & Brand Alignment
  • Collaborate closely with the Communications & Marketing team to plan and manage event-related messaging and materials.
  • Coordinate promotional requests, including digital content, signage, invitations, calendars, web content, and social media.
  • Ensure all events align with organizational branding, messaging standards, and accessibility expectations.
Community Engagement & Representation
  • Identify opportunities to expand SJRC Texas | Belong's presence and visibility across Region 8 through strategic community engagement.
  • Represent the organization professionally at community events and partner meetings, as needed.
  • Build and maintain strong relationships with community partners, including DFPS, CASA, schools, courts, service providers, and local organizations.
Budgeting, Reporting & Evaluation
  • Develop and manage event budgets in collaboration with the Sr. VP of Development and CFO, ensuring responsible stewardship of resources.
  • Track event performance metrics, collect feedback, and analyze outcomes to assess effectiveness and inform continuous improvement.
  • Provide regular updates, summaries, and recommendations to leadership regarding event outcomes and strategic value.
Technology & AI Utilization
  • Leverage AI tools and emerging technologies to improve event planning, scheduling, communications, data analysis, and post-event evaluation.
  • Stay current on trends in event management technology, AI-driven engagement tools, and digital collaboration platforms.
  • Apply technology strategically to streamline workflows and enhance the overall event experience.
Additional Duties
  • Maintain and manage the organization's community event calendar, ensuring accuracy, equity across subregions, and strategic balance.
  • Participate in staff meetings, trainings, and required internal and state-mandated trainings.
  • Perform other related duties as assigned.
Qualifications

Required
  • Bachelor's degree in Communications, Marketing, Hospitality, Event Management, or a related field.
  • Minimum of three (3) years of professional event planning or project management experience.
  • Demonstrated ability to manage multiple projects simultaneously with strong organizational and communication skills.
  • Proficiency in Microsoft Office (Word, Excel, PowerPoint), Canva, and virtual meeting platforms (e.g., MS Teams, Zoom).
  • Working knowledge of AI tools and their practical application in planning, communications, or operations.
Preferred
  • Five (5) or more years of event planning experience.
  • Experience planning community-based or mission-driven events within nonprofit, public sector, or human services environments.
  • Advanced familiarity with AI-enabled productivity, marketing, or data-analysis tools.
Physical & Environmental Requirements
  • Ability to stand, walk, bend, lift, and move materials related to event setup (up to 25-40 lbs, with assistance as needed).
  • Ability to work extended hours and travel within the region as required.
  • Capacity to remain adaptable and composed in fast-paced, emotionally dynamic environments.
  • Work occurs in office, community, and home-like settings with varying noise levels; campuses are smoke-free.
Licenses & Other Requirements
  • Valid Texas Driver's License with a good driving record.
  • Reliable transportation and proof of current automobile insurance.
  • Minimum age of 21.
PHYSICAL/MENTAL REQUIREMENTS
  • Body mobility to stoop, kneel, bend, reach, walk and walk briskly to coordinate, plan, and participate in various types of campus events.
  • Stamina to work long days and drive long distances.
  • Moderate to heavy lifting up to 25-40 pounds unassisted and more with assistance.
  • Must have the ability to communicate both verbally and in writing.
  • Must have the ability to give and receive verbal and written instructions (with or without hearing aids).
  • Must have fine vision, sustained vision, and peripheral vision (with or without glasses)
  • Environment requires dexterity to remain calm and adapt to fast paced and emotional environments consisting of children with moderate to severe emotional and psychological needs.
  • Home-like settings with varying moderate to high degrees of background noise
  • Light and ventilation are found in a typical home setting
  • Campuses are smoke-free.
  • Possible injury when lifting or moving if employee fails to use proper body mechanics, or if proper techniques are not used.
