Director of Student Accounts

The Director of Student Accounts is responsible for maintaining the integrity of the University's student accounts receivable and collection efforts, while promoting and supporting a highly collaborative and engaged service-oriented culture. This role is the key resource as far as regulatory matters for all types of accounting for types of aid. The Director of Student Accounts is responsible for compliance with federal and state regulations, including, but not limited to: Title IV aid refunds, IRS 1098T filings, and state escheatment processes, acting as key liaison to Financial Aid Offices. As a campus leader and problem solver, the Director of Student Accounts works proactively with other University stakeholders to ensure that MSMU students, parents and staff receive the highest levels of customer service. The Director of Student Accounts is expected to be passionate about leading, motivating and developing the Student Accounts office team.

Work Location: Doheny Campus (Downtown Los Angeles) and Chalon Campus (West Los Angeles). Remote work available 1-2 days per week.

Annual Salary Rate Range: $120,000-$130,000

Monthly Salary Rate Range: $10,000.00 - $10,833.33

Hiring salary can be above the posted pay range if candidate's qualifications are determined to be above the minimum requirements of the position description.

Duties and Responsibilities:

  • Establishes and maintains policies and procedures to ensure the accurate and timely billing of tuition and fees to student accounts, monitoring student account activity and ensuring applicable financial holds are in place.
  • Serves as the team leader of the Student Accounts team for both campuses by always exhibiting strong communication skills and respect for others, as well as an ability to handle all situations with tact, diplomacy, and composure.
  • Proactively work with other University departments to regularly seek out opportunities to improve efficiencies within the Student Accounts department and the overall student experience.
  • Responsible for ensuring that a collaborative relationship exists between Student Accounts and all other departments. Participates in the development of University policies and procedures.
  • Supervises cashiering operations, including processing payment transactions, applying all student loan disbursements and issuance of student refund checks in compliance with Title IV Cash Management regulations, monitoring internal controls over cash handling, processing departmental deposits, petty cash reimbursements, and cash advance requests.
  • Responsible for ensuring key system updates and website information changes are performed in a timely and accurate manner, including changes to the University's billing and refund tables.
  • Serves as primary point of contact with ACI, ECSI, and other Student Accounts related external vendors.
  • Directs the collection of student accounts and institutional loans, including the review and agency placement of past due accounts.
  • Negotiates terms of settlements with delinquent account holders and borrowers.
  • Develops and monitors metrics to evaluate the effectiveness of collection methods, personnel, and agencies.
  • Responsible for monitoring, billing, and reconciliation of MSMU's Student Health Insurance plan and lead the annual renewal process.
  • Responsible for ensuring Student Accounts complies with all Federal, State, and University regulations related to the privacy of student information.
  • Works with the Communications Departments and Web Services to ensure timely communication to MSMU community of deadlines impacting student accounts via email, posts to myMSMU, social media, or other means.
  • Oversees the sponsored billing relationships for both military and other corporate sponsored students and ensures appropriate administration of applicable discounts.
  • Oversees the Student Accounts department's budget, consistently striving for cost efficiency without sacrificing service.

Other Duties and Responsibilities:

  • Ad-Hoc reporting to VP, AVP or others as requested.
  • Hiring, training, and developing direct reports and staff.
  • Perform other job-related duties, as assigned.

Job Requirements:

Knowledge:

  • Strong working knowledge of student accounts operations and interrelationships to other student services, as well as knowledge of finance and accounting in a higher education or nonprofit environment.
  • Knowledge of general accounting concepts and principles related to accounts receivable, student loans, debt collection techniques, customer service best practices, automated receivable and cashiering systems, compliance related reporting and regulations, and FERPA privacy laws.

  • Ability to set vision and establish strategy for the Student Accounts department and motivate employees to reach top performance and to professionally and effectively communicate with a diverse University community.
  • Ability to effectively manage and evaluate the work of staff; assign duties and responsibilities; oversee the work assignments to ensure work is done accurately and timely; and provide personnel development.
  • Ability to interpret and apply applicable rules, regulations, policies, and procedures, and analyze situations accurately to adopt effective courses of action.
  • Ability to maintain personal composure in high stress situations as well as establish and maintain effective working relationships with others.
  • Skilled at defining problems, collecting data, establishing facts, drawing valid conclusions, and preparing clear, concise reports.
  • Strong organization and prioritization, negotiation, management, customer service, oral/written communication, and interpersonal skills.
  • Skilled at leading projects and conducting effective and efficient meetings.
  • Skilled with data analysis, word-processing, and presentation applications (Excel, Word and PowerPoint).
  • Skilled at solving basic mathematical equations.

Education:

  • Bachelor's Degree in Finance, Accounting, or Business Administration or closely related field required.

Experience:

  • Minimum of four years' experience of full time progressively responsible experience in the administration of student disbursements and accounting, collection, or cashiering functions.
  • Experience must include at least 2 years in a managerial or supervisorial role.
